Food Services Contract & Agreement

Terms and conditions for Alhuda SPARK Basketball Tournament food vendors

Important Notice

Thank you for your interest in becoming a food vendor at our Annual Basketball Tournament.

As we have discussed and agreed, there are limited food vendor spots available. To secure your participation, registration and payment must be completed no later than September 15th, 11:59 PM EST.

Please note:

  • Spots are not guaranteed until both registration and payment are received.
  • Unpaid or incomplete applications may be released to other interested vendors on the waiting list.
  • Event Management reserves the exclusive right to allocate, reassign, or withhold vendor space at its sole discretion.
  • Submission of an inquiry or a late request does not constitute acceptance, approval, or confirmation of participation.

Event Details

  • Event: Basketball Tournament
  • Location: The Fieldhouse @ Finch Creek, 16289 Boden Rd, Noblesville, IN 46060
  • Dates & Hours of Operation:
    • Friday, October 31, 2026: Can setup from 6:00 PM and serve till 10:00 PM
    • Saturday, November 1, 2026: Vendor services required from 10:00 AM – 10:00 PM
    • Sunday, November 2, 2026: Vendor services required from 10:00 AM – 6:00 PM

Vendor Obligations

Food Requirements

  • Provide Halal-certified food
  • Offer a variety of food and beverages suitable for athletes, spectators, and staff

Staffing & Service

  • Sufficient staff must be provided during all hours
  • Staff must be identifiable
  • Food stations must be clean, sanitary, and safe

Health & Safety Compliance

  • Vendor must comply with all local health department codes, fire safety regulations, and food handling laws
  • Proof of certifications, business license, and liability insurance must be submitted

Setup & Cleanup

  • Setup must be complete in time before service time
  • Vendor must keep the area clean and dispose of waste properly

Organizer Obligations

  • Provide Vendor with designated space for food service
  • Provide access to electrical outlets (to be agreed upon)
  • Promote Vendor's services as part of the tournament concessions

Payment Terms

  • Vendor shall pay the Organizer a vendor fee of $3,000 in full
  • Additional costs such as power usage, special equipment, or exclusive rights may be outlined in an addendum

Insurance & Liability

  • Vendor agrees to carry general liability insurance of at least $1,000,000 per occurrence naming the Organizer as an additional insured
  • Vendor assumes all liability for food preparation, sale, and service
  • Organizer shall not be responsible for theft, loss, or damage of Vendor's property

Termination

Organizer reserves the right to terminate Vendor participation if:

  • Vendor fails to comply with health or safety codes
  • Vendor does not provide sufficient staffing or food quantities
  • Vendor engages in conduct that negatively impacts the event

Dispute Resolution

  • Any disputes arising under this Agreement shall be resolved in accordance with the laws of the State of Indiana
  • Venue for any legal proceedings shall be in the courts of Hamilton County, Indiana

Miscellaneous

  • This Agreement is non-transferable without Organizer's written consent
  • Organizer reserves the right to inspect vendor operations at any time
  • Both Parties agree to act in good faith to ensure the success of the tournament
